What data the apps process and why

Identification and contact data

The user's name and email address. They are used to sign in and to assign a record — a trip, cleaning or task — to a specific user. The legal basis is the performance of the contract between the controller and the user's employer (Art. 6(1)(b) GDPR), or the employer's legitimate interest in recording work activity (point (f)).

Location data, including precise location and background recording

This is the most sensitive data the apps process, so we describe it in detail.

• PROON. Kniha jázd records location during an ongoing trip so that the route driven and the number of kilometers are written into the logbook. Companies are required by income tax law to keep records of business trips; the app creates them automatically instead of manual entry.
• Proon. PMS records location during an ongoing cleaning job so that the property manager can verify the work was done on site.
• Recording continues even when the app is in the background or the phone is locked. Without this, the route would be cut off as soon as the screen turned off and the feature would be pointless.
• Outside an ongoing trip or cleaning job, location is not recorded. The app only tracks whether a trip has started — not where the user is.
• The recorded route is visible to the user and their supervisor (the fleet manager or property manager). It is not shared with third parties or used for advertising or profiling, and it is not tracking within the meaning of Apple's App Tracking Transparency.
• Employees are informed about the recording by their employer as part of the employment relationship.

Photos

In the logbook, a photo of the fuel receipt; in the PMS, photos of the apartment before and after cleaning. They are stored with the relevant record and serve as proof of it.

Voice input

Only in the Proon. PMS app and only at the user's explicit request — optional dictation of task text. Speech recognition is handled by the device's system service; no audio recording is stored.

How long we keep data

For the duration of the contractual relationship with the customer and then for the period required by law. For trip records this is usually ten years under tax regulations. After that period, the data is deleted.

Who we share data with

We do not share data with third parties for their own purposes and we do not sell it. To run the apps, we use the following processors:

• Websupport, s. r. o. — server and database hosting (Slovak Republic)
• Expo Application Services — delivering notifications to the device
• OpenStreetMap Foundation and OSRM — map data and route calculation
• Apple Inc. — map data on iOS

Depending on the customer's settings, the Proon. PMS app also uses: Stripe and GoPay (payments), SuperFaktúra and iDoklad (invoicing), Didit (guest identity verification during online check-in), Hostex and Channex.io (synchronization with booking portals).

What the apps don't do

• They don't use advertising SDKs or analytics that would identify the user.
• They don't use App Tracking Transparency and don't track users across other companies' services.
• They don't use artificial intelligence services to process personal data from the apps.

Your rights

You have rights under Articles 15 to 22 GDPR — in particular the right of access to your data, rectification, erasure, restriction of processing, portability and the right to object to processing.

Since user accounts are set up by the employer, send requests to close an account and delete data to your employer or directly to us at info@proon.tech. We will handle the request within one month at the latest.
